The hirer agrees to the following conditions:
Supervision
The hirer for the event must be an adult over 18 years of age and must stay on site at Party Portal for the duration of the event. This is usually the parent/guardian of the person who is celebrating.
Payment
All on the day payments will be finalised before access to the venue is provided.
A $200 security deposit may be required on day of hire. This is totally refundable once final inspection of venue is complete.
Cancellations
In the event the hirer needs to cancel, the following applies:
Cancellation with at least 2 weeks notice from the event date. All moneys paid by the hirer will be refunded.
Cancellation between 1 and 2 weeks out from the event. An administration fee of $100 is retained from the amount pre-paid by the hirer. Other money paid will be refunded minus a 10% processing fee.
Cancellation less than a week out from event. No refunds will be given.
In the event the event is cancelled by Party Portal due to unforeseen circumstances, for example power outages beyond our control, we offer rescheduling of event to a date/time that is mutually agreeable. If rescheduling is not possible a refund minus 15% processing costs shall be returned to the hirer.
Food and Catering
DIY Catering:
Party Portal will supply trestle tables and plain tablecloths in the dining space. Tableware, cutlery, serving platters and all other dining requirements must be provided by the hirer.
At an additional charge we can provide colour themed disposable dining ware, cutlery and tablecloths. Please discuss this with a representative before your event.
We have a small kitchenette for your use which includes a refrigerator, small microwave and pie warmer . The kitchenette is an adults only space and party guests under 18 are not allowed to enter the space.
Any food and drink provided by the hirer must be prepared to commercial standards suitable for consumption, paying close attention to the particular dietary and allergy requirements of all your guests. Party Portal shall not take any responsibility for risks associated with “Not Fit For Consumption” food and cakes brought in to the venue by the hirer or guests. Management of children’s allergies is the responsibility of the Hirer. Party Portal accepts no responsibility for children eating food they may be allergic to during a party. Parents of children with allergies must stay during the party duration and oversee this process.
Party Portal Catering:
Choosing this option requires the hirer to be in contact with the venue to determine requirements and costings.

Alcohol/Drugs
Party Portal is a 100% no alcohol and drugs venue. If the hirer or any guest brings alcohol or drugs into the venue the event will be cancelled, and all participants will be required to leave immediately. No refunds will be given.
Smoking/Vaping
Party Portal is a non smoking/vaping venue inside and outside. No guests will be allowed outside at any time for smoking/vaping. Supervising adults may leave venue for smoking/vaping, but must do so at least 10 metres from the entrance to the venue or any neighbouring venues.
Attendance
Party Portal has a maximum capacity of 25 people. 10 attendees are included in the basic party package. Additional participants are to be paid for on arrival at $25pp.
The hirer is responsible for ensuring that all attendees remain on site for the duration of the event and that suitable arrangements are made for safe collection of all attendees at the end of the event.
Any participant leaving the event before the scheduled event end time must be signed out by a parent/guardian.
There is a charge of $5 for every 10 minutes the venue is occupied by the hirer and/or any associated attendees after the closing time of the event.
Accompanying adults.
Party Portal is a designed to be drop and go event space. Parking is limited to 2 car parks directly outside the venue. All other parking is street parking. We strongly encourage guests to be dropped off and picked up and that parents/guardians do not remain on site. This is because there is not a lot of space for adults who tend to form chatty groups that take up space and distract the guests from their activities. If there are guests under 5 years of age, or with an allergy and food is to be consumed a parent/guardian of that guest must remain on site.
If a guest is required to be collected prior to the official end time of the event, they must be signed out by a staff member.
Guest behaviour
The hirer is responsible for ensuring that guests abide by our behaviour policy. We expect our staff and guests to treat each other with respect and kindness at all times. Our Behaviour Policy has been created to ensure that all our staff and guests enjoy our events. We aim to provide an inclusive environment where our staff and guests can feel comfortable. For this to be possible we have outlined the following behaviours that will not be tolerated.
Abusive Language
Abusive language directed at staff members or other guests will not be tolerated. Whilst we all may use strong language occasionally, directing abusive language at anyone in a threatening manner will not be tolerated. Any guests exhibiting this behaviour will be removed and prohibited from attending future events.
Violent behaviour
Violent behaviour will not be tolerated.This includes kicking, punching, spitting, pulling of hair, scratching and any other behaviour which causes harm, pain or intimidation. Any guests exhibiting this behaviour will be removed and prohibited from attending future events.
Threatening behaviour
Any behaviour that is used to make anyone feel intimidated such as inappropriate and offensive hand gestures, or any other behaviour that is considered to be aggressive will not be tolerated. Any guests exhibiting this behaviour will be removed and prohibited from attending future events.
Injuries and Medical incidents/emergencies
Whilst all care is taken to ensure safety of guests, accidents can and do occur. Party Portal staff are first aid trained and can provide basic first aid if required. We reserve the right to contact Triple zero for emergency advice and emergency care provided is not at the expense of Party Portal. While all reasonable care is taken to ensure guest safety, Party Portal accepts no liability except where required by law.
Theft/Loss/Damage
Party Portal takes no responsibility in the case of theft, loss or damage any items brought onto the premises by the hirer or guests.
Accidental/Deliberate damage
The Hirer acknowledges and agrees all fixtures, fittings, equipment and items at the venue, are deemed to be in a good and clean condition and working order at the start of the hire. Any damage is incurred is the responsibility of the hirer and Party Portal may invoice hirer after the event for any costs associated with repair/remediation.
Cleaning/Rubbish removal
Party Portal provide one 54L black garbage bag for rubbish which can be disposed of on site at no charge.
Additional bags can be provided for the hirer to remove rubbish from premises.
Venue should be left in a clean, undamaged manner for full deposit to be returned.
